I have been using Dropbox cloud storage and sync service for sometimes now and the service is extremely good at what it does, but it misses one feature – an automated solution for organizing files, which I think useful to make things much more easier. However, there is a webapp called Sortbox, which helps us organize our stuffs automatically between Dropbox folders. Here is how it is.

Sortbox is a free webapp that will create a new folder inside your Dropbox and any new file you added to that folder will automatically moved and organized to their correct location based on rules you define.

First, go to Sortbox and login with your Dropbox account. Then create rules (Sortbox offers three types of rules) based on file extension name, file type, and pattern.

For example, select “Extension equals” from the dropdown menu, then type file extension name such as jpg, png, doc, mp3, etc in the next column and choose appropriate Dropbox folder under “Move file to” column.

This app will check the contents of your Sortbox folder every 15 minutes and if any file in it that match your rules will move to its correct location.

Sortbox is certainly a useful service, especially if you would like to organize your files automatically on your Dropbox cloud storage.

You probably know how essential it is to have a back up of your phone content (contacts, photos, documents, etc) on your computer and keep that backup regularly updated. However, many of us still don’t manage back up regularly enough, due to many reasons. Here is a very simple solution to back up your Android phone’s precious contents locally (SD Card) and to Dropbox cloud storage automatically.

Clickfree Backup is a little, free Android app that lets you automatically back up all your valuable content locally (SD card) and to Dropbox. It is easy to setup and mange. No complicated settings or configurations are needed.

Moreover, you can easily restore the back up to your existing or new device in case that your device is lost, stolen or damaged and access the backed up content anytime, anywhere you want.

How to backup and restore Android data with Clickfree Backup

Install Clickfree Backup app from Google Play Store and run it. Tap on the “Option” menu and select what to back up (Contacts, photos, music, video, calendar, apps, etc). You can also select “don’t backup from SD card” to exclude SD card content (if you choose to back up locally).

Also select where to back (This Device (SD Card) or Cloud (Dropbox). If you select Dropbox, it’ll redirect you to Dropbox signup page.

Now return to the main menu and select “Start” option to backup your content. You can always restore the backups to the original location by selecting “Restore” option.

Clickfree Backup has also an option to view your backed up photos just like on your device and has a built in music/video player to enjoy your favorite songs and video.

While composing a message in Gmail usually you use its built-in text editor for typing text. But, what if you can use your favorite text editor like MS Word instead of Gmail’s text editor? You can make use some of its advanced features like auto-completing, spell checking, syntax highlighting, thesaurus, etc. Here is how you can do that.

Text Editor Anywhere is a little Windows application that allows you to edit text anywhere with your favorite text editor. It supports all kinds of text editors such as Notepad, WordPad, Vim and even MS Word and all applications and web forms.

Text Editor Anywhere is quite simple to use. Download, install and run the application. Press “Win + A” shortcut key whenever you need it, for example while composing an email. It’ll automatically launch your default text editor.

Edit the text in your favorite editor and save the file and close the editor (or simply switch back using Alt + Tab); your text would be there.

To choose another text editor just hold “Win” key and press “A” repeatedly or choose “Edit with new extension”. It works like Alt + Tab.

You can add other text editors to the program from its option menu. To do so, right click on its tray icon and choose “Options” to open the configuration window. Click on the + sign and browse the file location of your editor (for example, Program Files – Microsoft Office – Office12 – Winword.exe) and click OK to save the settings.

Note: I have tested this tool with different text editors in Chrome, Firefox and IE. It perfectly works with Chrome; however, on Firefox and IE it failed to bring some text editor. Text Editor Anywhere can be downloaded from source here.

Chrome now offers to make Gmail your default mail client for all email links you click on the web. When you click on an email link, it will open a fresh Gmail Compose window instead of open it in your default mail client. If you would like to bring similar functionality to Opera, here is how it is with a small extension gMailto.

gMailto is a handy extension for Opera that can make Gmail your default mail client in Opera. It will open a Compose window in Gmail when you click a mailto: link, while the extension is running.

To install gMailto, go to this Opera extension page. After installation, restart your Opera. Now onwards all email links you click will be rewritten so that they redirect you to a Gmail-compose window. All attributes, such as recipient, copies and subject, will be forwarded to the composer.

gMailto extension will be handy if you prefer Gmail rather than your desktop mail client for composing messages in Opera.

The obvious benefit to backing up your files to the cloud is that you are able to access your files from anywhere on any internet connected device, but at the same time you don’t want to worry about data security. Of course, cloud storage services will store your data securely, but if you encrypt your personal files before backing them up to cloud, you can ensure a much better security.

There are several solutions available to encrypt your files before uploading them to the cloud storage. For example, the simplest solution is using a free compression tool like 7-zip to encrypt your file using AES-256 standard before uploading them.

If you are looking for an automated encrypting solution for your cloud storage services, you may like BoxCryptor.

BoxCryptor is a cryptographic virtual hard disk that encrypts all data on-the-fly using the AES-256 standard. Encrypted data is stored in an arbitrary directory of your choice, e.g. one that is synced to the cloud like your Dropbox or Google Drive folder.

How to setup BoxCryptor to encrypt personal file and synced it to your cloud storage?

After installing BoxCryptor, run it (Windows). In the first window choose ‘Create a new encrypted folder’ and click next. Here choose a folder, for example, Dropbox, Google Drive, etc and click next. Choose a drive letter and click next. Enter a password and click Finish button.

It will create a new drive in Windows explorer. Open this drive and any file you put here (or drag and drop here) will encrypt and synchronized to your cloud storage in real time.

Note: The encrypted files can only be decrypted on your local machine by using BoxCryptor. Only by using the BoxCryptor drive, you can see your decrypted data and work with it like any other data on your pc.

To get access to several settings or to change your encrypted folder you can open the BoxCryptor Main Window. Right click on the little padlock in your notification icons list and click on “Show BoxCryptor”.

Note: The free version of BoxCryptor lets you create only 2GB of virtual hard drive and supports only one cloud storage at a time.

BoxCryptor is available for Windows, Android, iOS, Mac and Linux. It can be downloaded from developer’s website here.

Last month I had posted an article here on ‘how to save Gmail attachments directly to Google Drive’, Google’s new cloud storage and sync service. It allows you to save all your Gmail attachments directly to Google Drive from the attachment list with a newly added ‘Save To Drive’ link option, however, it’ll work only with your Chrome browser. If you want to save your Gmail attachments to Google Drive from other browsers and mobile devices, here is how it is.

Step 1: Log in to your Gmail account and then enter this Goggle Docs page. It’ll open in your Google Docs page titled “Make a new copy of this Document?” Click on “Yes, make a copy” option.

Step 2: This’ll open a page titled “Copy of Send to Google Drive”. Click on the menu “Gmail” and then choose “Initialize” option (see screenshot).

Step 3: It will pop up a window with authorization request. Click OK to confirm the authorization request.

Step 4: Return to the previous “Copy of Send to Google Drive” page and once again click on the menu “Gmail” and then choose “Run” option. After getting the successful message, close the page.

Are you looking for an alternate solution for easily assign a drive letter to any of your cloud storage service (for example, Dropbox, Google Drive, and SkyDrive) in your Windows PC? By assigning drive letter, you can conveniently access the drive from Windows Explorer or My Computer. An added benefit is that all computers in your network or Home group can also use that drive remotely. Here is how it is with a free application called Visual Subst.

Visual Subst is a very simple to use application. Just download and install it. After running the program, type in the path of your cloud storage account, for example Dropbox (usually C:\Users\Username\Dropbox, in Windows 7) or browse the location (see screenshot).

Now, choose a drive letter from the dropdown list and then click the green + button. The virtual drive will appear in the Visual Subst list. Repeat the procedure with other services also.

Check the box next to “Apply virtual drives on Windows startup” to make the changes permanent. After adding all, click the ‘Close’ button to close the application. Just go to My Computer to test the newly added drive.

Note: To delete the association, just highlight the drive that you want to delete in Visual Subst and click on the red X button. That’s all!

Nowadays more and more people are utilizing cloud storage services for storing their documents, photos and other files, because, besides the free storage spaces, these services makes it easy to access your files from anywhere on any internet connected device. Therefore, this small tip may help you gain more from your cloud storage.

Visual Subst can be downloaded from developer’s website here.
